1. Senior Office Administrator - LP1
\\tTerms of Service: Permanent
Our client, operating within the Pension Fund sector in the East African region, is looking to fill key positions to join a team dedicated to delivering client centric services aligned with its strategic goals and plans for the next five years and beyond. Reporting directly to the Chief Executive Officer, candidates must be prepared to take on vital roles defined by the policies and frameworks established to fulfill the organization’s core mandate.
An officer at this level will work under the supervision of a senior officer.
a) Duties and Responsibilities
(i) Preparing and processing documents;
(ii) Composing correspondences for the respective Officer’s signature;
(iii) Formatting, proofreading and assembling correspondence reports;
(iv) Arranging for photocopies and telephone ‘callbacks’ where necessary;
(v) Screening and forwarding calls, re-routing calls, taking messages and scheduling appointments;
(vi) Maintaining the Officer’s diary, coordinating schedules of meetings, appointments, arranges meeting venues and prepares meeting files;
(vii) Managing clients’ hospitality and providing backup data as needed;
(viii) Responsible for the filing and retrieval system;
(ix) Management of office materials and stationery through purchase requisition, and managing imprest for office use; and
(x) Ensuring the security of office records, equipment and documents including classified materials.
b) Requirements for Appointment
\\tFor appointment to this grade, an officer must have:
(i) Served for a cumulative service period of six (6) years, three (3) of which must be at the Grade of Office Administrator or a comparable position;
(ii) Bachelors’ Degree in Secretarial Studies or a Bachelor’s in Social Sciences plus a Diploma in Secretarial Studies from a recognized institution;
(iii) Membership to a professional body in good standing;
(iv) Proficiency in computer applications;
(v) Fulfilled the requirements of Chapter 6 of the Constitution;
(vi) Shown merit and ability as reflected in work performance and results.
Requirements For Appointment
(i) Minimum work experience
(ii) Relevant professional qualification where applicable
(iii) Membership to a professional body, in good standing, where applicable.
(iv) Meet the requirements of Chapter Six of the Constitution of Kenya 2010.

(vii) A valid Certificate of Good Conduct from the Directorate of Criminal Investigation)
(viii) A current clearance from the Ethics and Anti-Corruption Commission
